PA / Secretary to Senior Management Team - Maternity Cover (6 month /might be extended)
This post would suit a lively, energetic, self-motivating person with excellent inter-personal and management skills and a warm telephone manner. Efficiency, enthusiasm, energy and initiative are essential as well as strong ICT skills.
Working as part of a team is vital and he/she should be able to work constructively within a small, closely-knit and very busy office environment.
The School administrative staff are the first point of contact for all visitors to the School. A warm and helpful manner is therefore essential together with smart appearance and efficient handling of a myriad of tasks. The role necessitates the ability to deal appropriately with a wide range of people from students to parents to staff as well as visitors to the School; flexibility is the key as well as absolute confidentiality. The successful applicant will have the ability to work on his/her own initiative and to prioritise effectively. He/she will also have good levels of stamina, loyalty and confidentiality, combined with a lively sense of humour.
The School has a computerised administration network and the standard software package used in School is Microsoft Office as well as SIMS (School Information Management System) modules. They also operate a parent contact system: ClarionCall. Training on all these applications would be provided but prior knowledge would be an advantage. Excellent ICT skills will be a prerequisite of the post.
The successful candidate should be ready to undertake a range of tasks.
Practical Information about the Post
This is a full time position with office hours from 8.30am to 5.30pm, Monday to Friday during the term time and days either side of term beginning and ending. During the school holiday period, office hours are 9.30am to 4.00pm Monday to Friday. The position offers five weeks' holiday per annum pro-rata to be taken during the School holidays.
The PA to a member(s) of Senior Management position involves supporting a Senior Manager(s) in their role and will include minuting of meetings, report and correspondence management and event organisation alongside daily administration.
The specific duties of this post holder include the following:-
Taking minutes of 2 meetings on a weekly basis
General typing of letters and internal documents, including using mail merge
Administration for our pastoral/house system
Administration for the Child Protection and Fire Training each term
Administration of travel arrangements for Boarders at the end and beginning of each term
Administration for the recruitment of Gap Students from our sister school in Australia
Administration for flexi-boarding requests from parents
Administration and set up for parents' evenings
Assisting with administrative tasks for our Medical Centre staff
Liaison with our Registrar re new entrants each September
Administration for Student/Parent/Boarding Handbooks
Administration for Founder's Day
Assisting with other tasks which are reasonably required for the post, and cover for other members of the admin team during busy holiday periods
